In Visual Matrix, Activities represent hotel services that can be scheduled, tracked, and charged — such as golf rounds, bike rentals, pool access, or shuttle transfers. Once Activities are configured in the system, you can attach them to a Group Reservation so that these services automatically apply to each future picked-up reservation from that group. This ensures every new room reservation linked to the group includes the same predefined activity, saving time and maintaining consistency across all guests in the block. In this article, you’ll learn how to add an Activity to a Group in VM Cloud and how it affects future picked-up reservations.
Path: Front Office > Group > Search > Open the Group
Instructions
1. On the Group screen, click Activities in the right-side tools panel.
2. Click New Activity to book a new activity for the group.
3. From the list, select the activity you want to add.
4. Choose the date and time slot (if applicable) when the activity will apply.
5. Confirm the selected activity and its time slot (if applicable).
6. The selected activity now appears in the Scheduled Activities section.
Each Activity must be added separately for each date. To include more, repeat steps 2–4 as needed.
Activities added to a group will automatically apply to any future picked-up reservations. However, if a reservation was already created before the activity was added to the group, the activity will not be added to that existing reservation.
