The Hotel Data Form is essential for building your hotel's profile in MOP: it feeds critical information like room numbering, location codes (e.g. hallways, storage, workspaces), and site metadata into the system. The file is completed in Excel and later uploaded into MOP. Accuracy ensures tasks, work orders, and cleaning assignments map correctly to your physical property. Hereās how each tab works and what information to enter.
Overview
The Excel file consists of three tabs: "Instructions" (to be read first), "Hotel Information," and "Room Numbers."
The "Hotel Information" tab is where you will input details about your hotel's location, including workspaces, common areas, storage areas, and more.
The "Room Numbers" tab is where you will enter the room numbers and their corresponding descriptions for your property.
The landing page, labeled āInstructionsā, displays a list of codes and their corresponding descriptions for various hotel locations. These codes and descriptions are provided as recommendations for your reference while completing the Property Data Sheet.
Itās important to use consistent, distinct names (or codes) for areas that might otherwise be duplicated (e.g. multiple storage rooms, several hallways), so tasks and assignments arenāt misdirected.
For examples: āHALL dash 1Nā for the 1st floor hallway on the north side of the building; āSTOR-2Sā for the 2nd floor storage on the south side of the building; or even āSTAIR-3Wā for the 3rd floor stairwell on the west side of the building. Feel free to add specifics for your hotel.
We suggest printing or keeping this tab visible while entering other data for reference.
This tab collects your hotelās general metadata ā property name, address, GM, contact info ā plus non-room locations (workspaces, storage, etc.).
- This includes details such as your general manager's name, the hotel's name, street address, city, state, zip code, phone number, fax number, and email address.
- Additionally, you'll need to provide your assistant general manager's email address and your property number, which is of utmost importance.
- Only include areas that may require a task or work order assignment (e.g. storage, hallways). You can omit purely decorative or inaccessible areas.
Exclude areas that never require assignments to avoid clutter.
On this sheet, the room numbers are organized into series of hundreds. In the ānumberā column, input each room number, and in the ādescriptionsā column, specify the room type or description for each room number. If there are more fields to be filled, please scroll down to access them. The descriptions should match what is listed in your Property Management System for accuracy.
If your property has PMS integration enabled, room data may already be pre-filled. Confirm with your implementation specialist before overwriting.
Make sure to correctly enter room numbers and their corresponding descriptions in the appropriate sections.
Once all required fields are filled in, that's it! You have successfully completed the Hotel Data Forms, which is the initial step to get started with MOP.
