The HAPI integration allows Visual Matrix Cloud to securely share reservation, stay, availability, and profile information with HAPI in near real time. This automated data exchange reduces manual reconciliation, improves data accuracy, and ensures external systems receive timely updates when reservations or availability change. This article provides a high-level summary of what information is shared and when updates occur.
The HAPI integration transmits the following data categories: Reservations, Stay Information, Room Availability (Inventory), and Profiles.

Includes core reservation details such as:
- Arrival and departure dates - Room type - Rate plan - Guest information - Reservation status (Active, Cancelled, No Show, etc.) | Includes nightly stay details and occupancy information, including: - Night-by-night rate breakdown - Assigned room (if available) - Packages and fixed charges | Availability updates are transmitted when room inventory changes due to: - New reservations - Cancellations - Date changes - Room type changes - Early checkouts - Out of Order status - Group allocation changes | The integration shares: - Company profiles - City Ledger accounts - Travel Agent profiles |
Reservation updates are sent whenever a reservation is created or modified. | Stay updates are sent alongside reservation updates. | Only impacted dates are updated. | Profile updates are sent when profiles are created or modified. |
When Updates Are Sent
The integration sends updates automatically when:
- A reservation is created
- A reservation is modified
- A reservation is cancelled
- A reservation is marked as No Show
- A guest checks in
- A guest checks out (including early checkout)
- Availability changes

Updates are transmitted in near real time.
What Is Not Included
The HAPI integration does not currently include:
- Full folio transaction streaming
- Inbound data synchronization
- Automatic retry processing
If historical data needs to be resent, manual sync options are available.
Resending Data
If data needs to be retransmitted — such as during onboarding or troubleshooting — your Visual Matrix team can perform manual syncs for:
- Individual reservations
- Date ranges
- Inventory
- Profiles
