Find a List of Guests by Guest Type (DNR, VIP, ...) (Cloud)

Guest profiles in Visual Matrix Cloud can be assigned a Guest Type, such as Do Not Rent (DNR) or other classifications used by your property. Being able to generate a list of guests by Guest Type helps with reporting, internal review, and operational consistency. Using the Guest Export tool, you can filter and export a list of guest profiles based on a specific Guest Type, including—but not limited to—Do Not Rent (DNR).

Instructions

The Guest Export tool allows you to generate a list of guest profiles based on their assigned Guest Type.

1. In the Guest Type field, select the desired type (for example: Do Not Rent (DNR), VIP). Apply any additional filters if needed.



2. Click Process to generate the preview list.



3. The preview will display a limited set of guest information to confirm your results.



4. After reviewing the preview, choose one of the following:
  1. Print the on-screen report (preview only)
  2. Export to download the full dataset
Notes
If you selected Export:
  1. Choose the file format: Comma Delimited (PeachTree), Tab Delimited, or IIF (QuickBooks).
  2. Enter a file name for the export.
  3. Click OK to generate the file.
  4. Choose whether to merge duplicate guest profiles if prompted: Yes (Merge – One line per guest) or No (One line per reservation).

Understanding the Results
  1. The preview screen shows a limited set of guest details to verify your filters.
  2. The exported file includes additional information such as contact details, stay history, and profile data.

Common Use Case: Do Not Rent (DNR)

One of the most common uses of this feature is to generate a list of guests marked as Do Not Rent (DNR).
The DNR status is stored as a Guest Type
  1. Guests marked as DNR will trigger warnings during reservation and check-in.
  2. The DNR status does not automatically prevent a reservation from being created.
Notes
This allows staff to review and manage restricted guest profiles more effectively.
