Even when rooms are available, sometimes a specific room number can’t be assigned—especially for multi-night bookings. This guide helps you troubleshoot that issue and reassign correct rooms using the Room Chart. Two things to watch for: overall room availability by type, and specific availability by room number.
Overview
Even if a room type is available across the dates you need, a specific room number might still be unavailable. Often, the issue occurs because that room number is already blocked by another reservation on one or more nights.
To resolve this, go to Front Office > Reservations > Room Chart in the dashboard.
In the Room Chart, filter to show only the available room numbers for that room type.
For example, if ‘SKA’ is available across all nights but no room number can be assigned, use the Room Chart to reveal blocked rooms and take the correct action. Typically, the solution is to unassign or relocate the conflicting reservation to free the room number. Otherwise, consider declining the reservation or moving the guest when the room becomes available.
Suppose a guest needs a KSKADA room from August 11–14. The type itself is available, but no single room number is open for the full stay. To fix this, you’ll need to adjust existing assignments: moving M. Kent from 111 to 101 or 116 frees up 111, while moving M. Olsen from 116 to 111 or 217 frees up 116. In any case, only the Room Chart lets you see the big picture.
