Override a Room Rate (Cloud)

A rate can be overridden in two different sections, but first, the user needs to have the credential to do so. There are two ways to override a rate. They are as follows: in the reservation and the folio.
If the room charge has already been recorded, any changes or overrides made in the reservation will not automatically apply to the existing posting. In such cases, the charge will need to be voided, and the adjusted rate must be reposted to reflect the new rate accurately.

1. Give the user credentials to Override rates

Path: Management > User Settings > Security
Make sure the user has YES in the Override Rates column.



2. Override a rate in a reservation

Path: Front Office > Reservations > Search and open the reservation
Scroll down to the Rate Information section and click on Details, next to the Rate Type.



The rate can be overridden day by day or for a specific period if the stay is for multiple days.
1. Enter here the rate to be applied for that specific date
2. Enter in any of the fields the rate to apply during the weekdays and/or the weekend. Click Apply.
Days are based on the setup in Management > Property Settings > Parameters > Weekend Definition.


It's not feasible to override a rate to $0.00. The only method to set up a room charge at $0.00 is by applying the COMP discount code.

3. Override a rate in a folio

Go to Front Office > Cashiering > Guest/Group/House Account and open a folio.
- Highlight the charge or payment you need to override.
- Go to Detail Posting at the bottom and put the amount that should be in the Override field.
- Click Save.
If the rate has a Discount Code applied, it cannot be overriden. It will have to be voided and reposted.
A credit card payment can still be overridden as long as the batch is not settled.
If the override rate field isn't accessible, it's likely due to existing "details," which means the rate can't be directly overridden. Instead, it should be voided and then reposted. This often happens when there's already a discount applied to the reservation.
