Pickup Group Allocations to Create Reservations (Cloud) 🎥

Once a group block is established and allocations are assigned, you must pick up those allocations to convert them into guest reservations via the availability or group availability interface. This process respects the group’s guarantee type (None, Room & Tax, or All Charges), which influences how the system populates names and charge posting behavior.
Notes
After pickup, changes to rates or tax settings on the group do not automatically propagate to individual reservations—you’ll need to adjust those manually.
Path: Front Office > Reservations/Group > Availability

Instructions

1. Search for the group’s allocations for the desired arrival date using the availability screen.



2. Click on the allocation field matching the arrival date and room type you want to pick up. Drag to pick up as many dates as required. Release the mouse to create the reservation.



3. The reservation form opens. The behavior differs based on group guarantee type:
- If None, the First Name / Last Name fields are blank and must be filled before saving.
- If Room & Tax or All Charges, the system pre-fills First/Last Name from the group contact name (you can modify it before saving).



4. Initially, this operation picks up one room. In the Stay Details, you may choose to pick up additional rooms or all rooms at once, and then adjust guest names from the Group Rooming List.



5. The Group Name field on the reservation shows the group that the reservation is linked to.



6. Click the green Save icon at the top right to finalize the new reservation(s).

Warning
Once allocations are picked up, only the Guarantee Type setting updates from the group to individual reservations if changed later. Ratetax status, and other group-level settings do not propagate to reservations already picked up. Any such changes must be made manually per reservation.
