Preprinting registration (Reg) cards means preparing printed guest check-in forms in advance of arrival. This streamlines check-in by giving you printed cards ready for guest arrival, improving speed and ensuring accuracy of information.
Make sure your printer is set up properly and the registration card template is configured via property settings. Then follow the steps below to preprint for individual guests, groups, or all arrivals.
Instructions
1. Select the date for which Reg Cards should be printed. By default, today’s audit date is used.
2. Choose your printing scope:
- All: print cards for all reservations on that date
- Individuals: select all individual reservations or a specific guest
- Groups Only: choose which group(s)
- Guest Room #: select specific room(s) to print cards for.
3. Click Print to send your selected registration cards to the printer. Or click Cancel to close without printing. If printing fails, verify the printer connection and settings.
If all registration cards have already been preprinted and new reservations are created later, the registration card for these new reservations will not be included in the original batch. In this case, you’ll need to print them individually, either by:
- Using the Preprint Reg Card tool again for the specific date, or
- Opening each individual reservation and printing the registration card directly.
- Is the registration card template properly configured in Management → Property Settings → Forms → Registration Cards?
- If printing for groups or specific room numbers, have I selected the correct group/room?
