When a guest makes an advance deposit or you process one for an upcoming stay, a receipt is often needed as confirmation of the payment. Visual Matrix offers multiple ways to provide this payment confirmation to the guest.
Path: Front Office > Reservations > Search > Open a reservation
Send a (new) Confirmation Letter
The confirmation letter includes the prepaid deposit in the summary section above the stay information. However, it displays only the total of all advance deposits paid, not a detailed breakdown. The letter will be sent automatically to the email in the reservation.
1. Go to the toolbox on the right and select "Confirm Letter".
2. The advance deposit total will appear in the top right summary information.
Send a Deposit Details Print
The second way, would be to print the advance deposit details. However, this version will not send by email, it will only print.
1. In the right-side tools, select "Deposit Details".
2. This window displays all the advance deposit posted. Click "Print".
3. This will display all advance deposits posted in a client-friendly format.
A proforma invoice is a preliminary bill of sale sent to buyers before goods or services are delivered, outlining the expected costs. By this definition, it will also include any advance deposit posted.
1. Go to the toolbox on the right and select "Proforma".
2. Any advance deposit made will be listed at the bottom of the proforma invoice, following all charges that will be applied during the stay.
