Having information on your guest can have some great benefits. Some examples are as follows: when entering a reservation, basic information will be there already in the appropriate reservation fields. Mailings about special promotions, birthday wishes, or holidays can be done with greater ease. Visual Matrix can help with that data collection.

Guest Profiler
The main page will give access to multiple options:
1- Create a new profile: other profiles are created when a new reservation is generated.
2- Browse: to search for an existing profile.
3- Member list/statement/accruals/redemption: this feature is not currently active.
4- Setup: set up the mailing list and guest type.
5- History Merger: to merge any duplicated profiles. To be merged, the profiles have to be the same
There are three active areas for data collection:
- Guest Information: personal data such as an address, phone number, email, and birthday.
- Marketing Information: data for marketing purposes such as market segment, referral method, and the reason for the stay.
- Overall Totals: Room night totals, revenue production, and ADR.
- Incentive YTD Totals: The incentive program is not a current active feature.
1- Create a New Profile
To create a new profile, click on New and enter the maximum of information you have about the client.
The Franchise Member field is where the Client Loyalty program number will be stored (BWR).
2- Browse/Guest Lookup
The search can work by first name or last name.
4- Set-Up
Mailing List is the type of mail communications you have available to use. You can create your list and keep them permanently or create a list for a one-time special promotion.
Guest Type is a list available for a particular category in the list and can be associated with a name in the Guest Profiler. An example would be the guest is a VIP of one of your top corporate accounts. As with the Mailing List, Guest Type can be a permanent entry or a one-time entry.
Duplicates are commonly created by entering a new name entry at the time of making a reservation versus searching to see if there is an existing profile for the guest.
Type in any letter in the Last Name field, and select View.
The platform will bring up any last names that start with that letter and the number of duplicates for this profile.
To eliminate duplicates, click Process.
There will be a pop-up notification of the pending purge of guest history duplicates.
