The City Ledger Account Detail screen provides a centralized view of all active billing activity for a City Ledger account in Visual Matrix Cloud. From this screen, users can review open and partially paid invoices, see applied payments, monitor aging balances, and access adjustment and void activity. Account Detail displays current, actionable billing information. Once invoices or payments are fully settled, they move into Invoice History or Payment History for reference.
Path: Accounting > City Ledger > Account Listing > Open a CL Account > go to Account Details
Account Summary and Aging Balances
The top section of the Account Detail screen displays a summary of the selected City Ledger account, including aging balances and total outstanding balance.
This section shows:
- Current, 30 Days, 60 Days, and 90 Days aging amounts
- Total Balance owed by the account
The Account dropdown allows you to temporarily view another City Ledger account. Switching accounts here does not change your original account selection. When you close the window, you will return to the City Ledger account you originally selected.
Invoices Section
The Invoices section lists all open and partially paid invoices for the selected City Ledger account. Each row represents an invoice that may still require action.
Displayed information includes:
- Invoice date and number
- Original invoice amount
- Payments applied to the invoice
- Remaining balance
- Clerk who created the invoice
From this section, users can select an invoice to review its details or perform actions such as reprinting or unapplying payments.
About the Unapply option: If multiple payments are applied, all will be unapplied.
Invoice Detail and Invoice Payments
When an invoice is selected, additional details appear in the lower panels:
- Invoice Detail shows the guest folios included in the invoice, including confirmation number, guest name, and charge amounts.
- Invoice Payments displays payments or credits that have been applied to the selected invoice.
This information helps users understand how an invoice balance was created and how payments have been applied.
Adjustments and Voids
Click Adjust/Voids Only to open a detailed view of all adjustments and voided transactions associated with the City Ledger account.
This screen displays:
- Posting codes and descriptions
- Posted and adjusted amounts
- Void indicators
- Clerk who performed the adjustment or void
- Date the transaction was posted
Use this view to audit billing corrections, review void activity, and confirm adjustment history.
