Private rates hide the rate amount on guest-facing documents, such as the registration card. This is useful when a third party is paying or when the rate should not be disclosed. In VM Cloud, you can mark a single reservation as Private, or configure rate plans—both local and online—so that all future reservations created under those plans are automatically flagged as Private. Make a Single Reservation "Rate Private"
This method applies when you need to hide the rate for a single reservation, usually because a third party is covering payment.
Path: Front Office > Reservations > Search > Open the Reservation
1. Open the reservation and scroll to the "Rate Information" section.
2. Mark the rate as Private: In the Rate Private field, select Yes to hide the rate (or No to show it). The change saves automatically.
“Rate Private” affects disclosure on guest-facing documents; it does not change accounting or folio postings.
Use this method to make rate plans created and used only at the property (local reservations) private, so that all future on-property bookings automatically hide the rate on registration cards.
Path: Management > Rates > Discounts > Setup
1. Go to the Rate Plans Setup screen.
2. Update every rate status as needed and click on the green floppy disk to save.
Use this method to configure rate plans in your Channel Manager so that all future online reservations (from OTAs or travel agencies) automatically hide the rate on registration cards.
Path: Management > Interfaces > All Interfaces > Select your Channel Manager > Rate Plan Setup in the right toolbox
1. Open Rate Plan Setup.
2. For every rate plan you need to make private, check the Private box. This ensures the rate will be hidden on registration cards. Click Save when finished.
