Create Zero Night/Half Day Reservations (Cloud)


In Visual Matrix, it is not possible to create reservations with a zero-night stay; the arrival and departure dates must differ, meaning the reservation must be for at least one night. However, if a reservation is checked out on the same day it was checked in, the system will automatically adjust the stay duration to zero nights after checkout. This ensures accurate tracking of reservation details and reflects the actual length of guest stays. Once a reservation is checked out, it will appear on the Daily Report as an early checkout, accurately reflecting instances where guests conclude their stays ahead of the originally scheduled departure date.

1. Make the Reservation for one night.


If the property has not enabled the feature to automatically post room and tax charges at check-in, these charges will need to be posted manually. This can be done by selecting the "Post Room & Tx" option from the folio toolbar options. This manual process ensures that room and tax charges are accurately recorded and posted to the guest's folio during their stay.

2. Post the Payment in the Folio.
Since you plan to check out before the scheduled departure date, it is important to post the payment before checking out the room.



3. Checkout the Room.
3a. After selecting "Checkout", a prompt will appear stating "The reservation is not due out until [departure date shown on the reservation]. Do you wish to continue?".
Select "Ok" to proceed with the checkout process. This message ensures that users confirm their intention to check out before the scheduled departure date listed in the reservation.



3b. Enter the reason for the early checkout before the scheduled departure date in the reservation.
Next, enter an "Early Check Out Reason" and click "Ok" to proceed. This step allows you to specify the reason for the early checkout, ensuring accurate record-keeping and effective guest service management.



4. The reservation information is now updated from 1 to 0 nights.
Once checked out, the main reservation page will adjust the stay duration to 0 nights, updating the departure date to match the arrival day. This automatic update accurately reflects the guest's stay duration in the system.
