Auto-Assign Rooms w/ Segmentation (Cloud) 🎥

Assigning rooms automatically allows housekeeping managers to distribute rooms among housekeepers based on predefined criteria like number of rooms and segmentation filters. This automates the assignment process and ensures room workload aligns with the selected parameters for the current operating day.

Instructions

Auto-assigning rooms uses room counts and optional segmentation filters (such as section, room type, number range, or odd/even sequence) to distribute rooms automatically among housekeepers.

1. Click Refresh to load current room and assignment data.



2. Select the housekeeper you want to assign rooms to today.
3. Enter the number of rooms you want the system to assign to this housekeeper.
4. (Optional) Apply segmentation filters such as:
- Section: Limits auto-assignment to rooms within a specific housekeeping section, such as a floor or zone.
- Room Type: Restricts auto-assignment to selected room types, such as Kings, Doubles, or Suites.
- Range: Assigns rooms only within a specified room number range.
- Odd/Even sequence: Assigns rooms based on room number sequence.


AlertMultiple segmentation filters can be combined to further narrow room selection. Each additional filter reduces the pool of eligible rooms. For example, you can auto-assign only odd-numbered rooms within a specific section and room type, which limits assignment to rooms that meet all selected criteria.
If no segmentation filters are selected, the system assigns the first set of eligible rooms from the list, based on the number of rooms entered.
Notes
Any segmentation filters selected for a room attendant are saved and will apply the next time rooms are auto-assigned.

5. Click Auto-Assign Maid to assign rooms matching the selected criteria.


Notes
Room Color Indicators Reminder:
- Green: room successfully assigned to the selected housekeeper
- Red: room already assigned to another housekeeper
- Yellow/White: due-outs and stay-overs ready for assignment

Auto-assigned rooms are saved automatically. No additional save action is required.

6. Repeat steps 2-5 for each additional housekeeper.

When a room is not serviced on a given day, its cleaning schedule does not pause or roll over to the next day. Instead, the room advances to the next scheduled cleaning type. For example, if a room alternates between Change every two days and Make on the other days, skipping a day of service will still move the room to the next condition in that sequence.

After Assigning Rooms

Once rooms have been assigned, the next step is to provide each housekeeper with their daily room assignment list. This can be done by printing the Room Assignments Report or by using the Mobile Operating Platform (MOP) to share assignments digitally.

Printing the Room Assignment Sheet
The Room Assignments Report generates one page per housekeeper, listing the rooms assigned for the current operating day. This report is commonly printed and distributed to housekeeping staff at the start of their shift.


Notes
Each housekeeper receives a separate page showing only their assigned rooms.

Using MOP Instead of Printing
Properties using the Mobile Operating Platform (MOP) can avoid printing altogether. Once room assignments are complete, assignments can be imported into MOP, allowing housekeepers to view their rooms directly on their mobile devices. Learn more...
Using MOP helps:
- Reduce paper use
- Provide real-time access to assignments
- Keep room status updates centralized

When using MOP, room assignments must be imported after assignments are finalized and saved.
