Complete a Preventative Maintenance Work Order (Cloud) 🎥

When a planned preventative maintenance task has been performed, the associated preventative maintenance entry should be completed in Visual Matrix Cloud to record that the task has been finished. Completing preventative maintenance tasks ensures that maintenance history is captured accurately, supports reporting, and reflects that the planned activity is no longer outstanding. Work orders or preventative tasks can be completed from multiple areas of Visual Matrix Cloud, including the Maintenance menu and the Front Office Room Rack if applicable.

Preventative maintenance tasks completed here are distinct from reactive maintenance work orders and are recorded as part of your preventative maintenance history.

Instructions

When you open the Preventative Maintenance Completion page, all scheduled preventative maintenance tasks are displayed by default. You can use the filters at the top of the page to narrow down the list if needed.

1. Use the filters at the top of the page to narrow results by Room, Common Area, Prevent Item, Assigned To, or Date range, then click Refresh. By default, all preventative maintenance tasks are shown.



2. Locate the preventative maintenance task you want to complete in the list.


3. Review and confirm the Date of completion. By default, the current date is prefilled, but it can be adjusted if needed.
4. Review any associated costs (Material Cost, Labor Cost, Misc Cost). These values are prefilled based on the original preventative maintenance setup and can be adjusted if required.



5. In the Complete column, change the value from No to Yes to mark the task as completed.



6. Click Save at the top of the page to complete the selected preventative maintenance work order.

To complete all displayed tasks at once, click Complete All instead.
