Enter a Voice Authorization for Credit Cards (Cloud)

Voice authorization is required when a credit card transaction is flagged as "Referral", meaning the processor is requesting extra confirmation. In VM Cloud, after an initial attempt triggers this referral, a Voice Auth button appears under Payment Info. Entering the valid authorization code ensures successful batch settlement.
Path1: Front Office > Reservations > Search > Open Reservation > Payment Info
Path2: Front Office > Cashiering > Guest/Group/House Account > Detail Posting
Warning
Always enter the exact authorization code provided by your processor. Using an incorrect or made-up code may make the charge look approved at first, but it will be rejected during batch settlement.
Notes
The screenshot below shows the folio path. The only difference in the reservation path is that the top will display “Authorize” instead of “Charge.”

Instructions

1. Enter Card Details – Input the credit card number (or retrieve it via pinpad) and confirm that the expiration date plus token/card number are present.
2. Attempt Authorization – Click Authorize to send the request.



3. Referral Response – If the transaction is referred, a Voice Auth button will appear.
4. Get the Code – Call your credit card processor to obtain the voice authorization code.
5. Enter the Code – Click Voice Auth and type in the code provided.
6. Confirm – Click OK to save and confirm the authorization.

7. Result – VM Cloud stores the authorization and processes it during batch settlement.



Warning
Voice authorizations are not verified in real time. Even if you enter an arbitrary number, the system will confirm it as authorized. However, during batch settlement the charge will be declined because the code was not issued by the processor and cannot be validated.
