Import Room Assignments from Visual Matrix (MOP 2.0)


When integrated with Visual Matrix, room assignments are initially made to each housekeeper within the PMS and subsequently imported into MOP. Thanks to the two-way connection between MOP and Visual Matrix, any changes such as a room being checked out in the PMS or a room status transitioning from dirty to clean in MOP will automatically synchronize and update accordingly in both systems. This bidirectional integration ensures real-time consistency between the two platforms.

Note that this function also imports newly created users from VM PMS into MOP.

The refresh and full clean frequency set up in the VM PMS does not transfer to VM MOP. MOP follows its own hardcoded logic: if a guest’s length of stay is exactly 3 days (or a multiple of 3), a Full Clean is assigned. On all other days, a Refresh is assigned.

1. Assign Rooms in Visual Matrix.
2. Click "Add Visual Matrix Tasks".



3. The process will run to import the assignments for your PMS.



4. If the import is successfull, you will receive a notification that X (number of rooms assigned) Visual Matrix tasks have been added.



5. If the import encountered any error, any room(s) not assigned in the importing process will be indicated with a red error "Error in Rooms Status Sync. The following Rooms Are Not Assigned".
To address the issue of missing rooms, you have a couple of options. You can assign these rooms in Visual Matrix (VM) and then initiate a re-import process. Alternatively, you can manually assign these rooms within MOP. Choose the method that aligns best with your workflow and system preferences.


Notes
New rooms can always be re-imported; however, the room attendant assignment cannot be altered through a subsequent import if there is a change after the initial import. For example, if rooms are assigned to one housekeeper and imported into MOP, but then this housekeeper does not show up, the rooms assigned to them will need to be reassigned to another housekeeper using the RA Monitor in MOP.
