Import Users from VMPMS to MOP (MOP 2.0)

When your property is integrated with Visual Matrix PMS (VM Cloud), new users created in the PMS can be automatically imported into MOP during the task import process.
This integration helps streamline onboarding by:
  1. Reducing duplicate user setup
  2. Automatically assigning roles based on department
  3. Generating secure login credentials
This article explains how users are imported, how usernames and passwords are created, and what must be reviewed after the import.

How User Import Works

MOP imports users from VM PMS when the Add Tasks function is used. During this process:
  1. New PMS users are detected.
  2. A MOP user profile is automatically created.
  3. A role is assigned based on the user’s PMS department.
  4. A temporary username and password are generated.

Create the new user in VMPMS

Path: Management > User Settings > Security
Create the new user and assign the correct department.

Trigger the Import in MOP

Path: Add Tasks > Add Visual Matrix Tasks
Running this function triggers:
  1. Task import
  2. User synchronization from PMS


Automatic Role Assignment

MOP will import every user from the PMS and will be assigned a Role based on their assigned department in VM Cloud:

Username and Password Generation

At this stage, the new user is now integrated into MOP. It's important to highlight that the PMS Username will not be transferred to MOP. Instead, MOP will generate a new username based on the user's first name.

New users won't be added to MOP right away; it will take a few minutes for the import to complete.
Alert
Should the first name already be in use by another MOP user, a specific protocol will be initiated.

Temporary Password Logic (MOP 2.0)

MOP automatically generates a temporary password for each new user.
The original PMS password is not transferred.

Standard Temporary Password Format

FIRSTNAME1234#

Password structure:
  1. User’s first name in ALL CAPS
  2. Followed by: 1234#
Example:
If the first name is Josh → Temporary password: JOSH1234#

Special Rule – First Name 2 Characters or Less

The password must meet the minimum 8-character requirement. If the first name contains 2 characters or fewer, MOP uses the following format:
FIRSTNAMETemp1234#
Example:
If the first name is El → Temporary password: ELTemp1234#

First Login Behavior

Upon first login at: app.vmmop.com
The user will be required to create a new password.
Usernames and temporary passwords are system-generated.
Passwords are case-sensitive.
The temporary password is intended for first-time access only.
Users should update their password immediately after logging in.
Alert
As previously mentioned, the username and password are automatically generated during the import process. However, it is important to update each new user account in MOP with the appropriate phone number. Additionally, for managers, an email address must be entered to receive maintenance task notifications and panic alerts, if those features are enabled.
