A loyalty program is a rewards system designed to encourage repeat business by offering incentives to frequent customers. Linking it to VM Cloud PMS is essential for the seamless integration of guest profiles, enabling personalized experiences, tracking guest stays, and automatically applying rewards. This not only enhances guest satisfaction and retention but also maximizes revenue opportunities for the brand.
Our direct integration allows Visual Matrix to perform the following:
- Manual lookup capability
- Manual enrollment capability
- Automatic prompt for lookup/enrollment at check-in
- Automatic prompt for lookup/enrollment at check-out
- Automatic tier verification prior to arrival to ensure that the system reflects the correct tier
- Reporting on enrollments performed by the staff

Management users have access to the interface, but only Visual Matrix Admins can configure its setup. All users can access the page to view the "Loyalty Info Log." If any setup seems incorrect, please contact the VM Client Experience team for assistance.
1. Select the Loyalty Program.
2. This section will display the name of the program and the affiliated brand/franchise/company. If a description is available, it will also display here.
3. Enrollment options:
- Allow Lookups: must be checked.
- Allow Enrollments: must be checked.
- Verify Tier Level Prior to Arrival: must be checked.
- A value must be entered in the “Days Prior” field. This tells the system how many days prior to arrival to lookup when the Night Audit is run (explained in next slide).
So long as the correct settings are checked in the PMS, this feature will allow the PMS System to confirm the correct Tier Level for a reservation, as well as allow the loyalty program lookups and enrollments directly from the PMS.
4. Finally, a property can customize when a user is prompted to do a lookup/enrollment – at check-in, check-out, or both.
5. When the loyalty program is added, the Tiers will auto-populate in the Loyalty Tiers section.
