Marketing Fields in an Individual Reservation (Cloud)

Every reservation in VM Cloud includes three marketing fields—Market Segment, Referral Method, and Reason for Stay. These fields help categorize reservations for tracking and reporting. You can always review or update them directly in the reservation form, whether the booking was created locally or imported from an OTA.
Path: Front Office > Reservations > Search > Open a reservation

Instructions

1. Where to Find Them: The fields appear in the Marketing Info section of the reservation form.



2a. Where They Come From: In local reservations, segments are populated using the defaults set in Sales & Marketing Setup. If any field is configured as required, it will appear highlighted in red and must be filled before saving.

Online Reservations (OTA/Channel Manager): Pre-filled using the mappings in your Channel Manager, but you can edit them in the reservation if needed.


2b. If the Marketing Segment is not configured as “Required” in setup, a default value can be selected from the dropdown in Sales & Marketing Setup. This default segment will automatically populate in new reservations unless another option is chosen.

Updating Fields: Regardless of the source, you can always update the Marketing Info section directly in the reservation to ensure the data is correct.
