Promotional letters are a powerful marketing tool that helps your property engage guests with targeted offers, events, or packagesāeither before arrival or during their stay. In Visual Matrix Cloud, you can send these letters in bulk via email, print, or both, helping your team reach guests quickly and drive additional revenue.
Path: Front Office > Supervisor > Res Mgmt > Promo Letter
Promotional letters must be created in Management > Property Settings > Letters > Promotional before they can be selected and sent from this screen.
Instructions
Follow the steps below to select a letter, target the right guest segment, and send your promotional message via email and/or print.
1. Select the promotional letter type from the Select Letter Type dropdown.
2. Choose your guest filters:
- Select Search By (Arrival Date, Reservation Date, Departure Date, etc.).
- Enter the date range that applies to the selected filter.
These filters search guests based on their past stays or past reservations, not future bookings. For example, filtering by Arrival Date will find guests who arrived during the selected date range, even if their stay is already completed.
3. Select the Delivery Option:
- Mail only: prints letters for guests without an email address.
- Email only: sends letters only to guests with email addresses.
- Mail/Email: emails guests who have email addresses and prints letters for those who do not.
4. Enter the Email Subject for the promotional message.
5. Click Print to send or print the promotional letters based on your selected delivery method.
