Set Up Reason for Stay (Cloud) 🎥


Reason for Stay allows you to identify why a guest is staying at your property, such as business, leisure, conference, or other purposes. This information helps properties better understand guest behavior, improve marketing strategies, and analyze revenue trends. Setting up Reason for Stay ensures that reservations are consistently categorized and that reports and forecasts reflect accurate data.

Instructions

The Reason for Stay setup allows you to create and manage the categories used to classify the purpose of each reservation.

1. Choose whether the Reason for Stay field should be required:
- Check Required to force users to select a reason for every reservation
- Leave unchecked to allow optional selection
Notes
If not required, select a default Reason for Stay that will automatically populate when saving reservations.


2. To create a New Reason for Stay, go to the last available row in the list, and enter the following information:
- Code: Short identifier
- Description: Name of the reason (e.g., Business, Leisure, Conference)

3. Check the Active box to enable the reason.
4. Click the Save (floppy disk) icon to store the new entry.

Each line must be saved individually.
When editing existing entries, make sure to click Save on each line after making changes. If multiple lines are updated without saving, clicking Save on one line may reset the others, and those changes will be lost.

Understanding Reason for Stay

Reason for Stay categorizes the purpose of a guest’s visit, such as:
- Business
- Leisure
- Conference
- Wedding
- Other

These categories are used in reporting to analyze:
- Revenue by stay purpose
- Booking trends
- Forecast performance
- Guest behavior patterns

Important Notes
- Deactivating or deleting a Reason for Stay may affect reporting and historical data.
- These values are used in reports and forecasts, including Reason for Stay reports and forecasting tools.
- Reasons for Stay are also used in channel manager mappings. Removing or changing a code that is mapped can impact reservation imports.
Idea
If not required, setting a default value helps maintain consistency across reservations.

Using the “Other” Reason for Stay Option

The Reason for Stay field includes an “Other” option that allows users to enter a custom reason not listed in the predefined setup.



When Other is selected:
- An additional field appears
- Users can manually enter a specific reason for the guest’s stay



This is useful when:
- The predefined list does not cover all scenarios.
- More detailed or unique reasons need to be captured.

Reporting on “Other” Entries
Entries selected as Other can be reviewed using the appropriate Reason for Stay report, which displays the custom values entered by users.

This allows properties to:
- Identify frequently used custom reasons.
- Adjust their setup to include new standard categories if needed.

If “Other” is used frequently for similar entries, consider creating a new Reason for Stay in the setup to improve consistency and reporting accuracy.
