Add an Extra Guest to a Reservation (Cloud) 🎥


When more than one person is staying in a room, you can add their names to the reservation without creating additional billing folios. VM Cloud lets you add up to three extra guest names in Folios B, C, or D, marked as “Name Only.” These names will appear in reservation searches, arrival lists, and on printed folios, while billing remains tied to the main folio.
Path: Front Office > Reservations > Search > Open the Reservation > Select Guest Account from the menu on the right
Idea
Adding extra guests to Name Only folios helps keep reports and arrival lists accurate without affecting billing.

Instructions

1. Open the reservation and click Guest Account on the right-hand panel.



2. Select Folio B, C, or D, and set its type to Name Only.



3. Enter the additional guest’s name in the provided field.

Idea
To stay consistent with other reservations, enter the name in the format Last Name, First Name. There is only one field for both.

4. The added guest name will display in Reservation Search, the Arrival List, and on printed folios.



5. The address information for the extra guests remains the same as the primary guest in Folio A.
