Online reservation and Visual Matrix
When a guest makes a booking around the time the audit is scheduled to run, there's a likelihood that the booking may not be processed into the Property Management System (PMS) in time before the audit commences.
Once the audit process begins, Visual Matrix finalizes the current day, which involves transitioning the system's date to the new day.
For online bookings to be imported into Visual Matrix, the arrival date specified must either be the current date or a future date. Bookings with an arrival date set in the past will not be imported into the system and cannot be retrieved.
In practical terms, this means that any reservation made for the current night effectively becomes a booking with an arrival date from the previous day once the audit process starts, and as a result, it will not be imported into Visual Matrix.
What if a guest makes a reservation for the current night and the audit has started?
Once the audit process has commenced and the date has changed, it becomes impossible to retrieve or import a booking with an arrival date for the current night. In such cases, the only recourse to ensure the reservation is recorded in Visual Matrix is to manually input the reservation details by creating a walk-in reservation.
All necessary reservation details can typically be obtained either from Member Web (Best Western) or directly from the original OTA partner portal (such as Booking.com, Priceline, or Expedia Partner Central). For OTA prepaid bookings, it is also possible to access the virtual credit card information from the OTA partner portal and manually input it into Visual Matrix to complete the reservation.
