Assign a Preventative Maintenance Task Ahead of its Scheduled Time (MOP)

Preventative Maintenance (PM) Tasks are typically assigned automatically when their scheduled date or usage threshold is reached. However, there may be situations where maintenance needs to be performed earlier than originally scheduled. MOP allows Site Admins and authorized users to manually assign upcoming Preventative Maintenance Tasks before their scheduled date. This flexibility can help properties complete maintenance during slower periods, prepare for inspections, accommodate staffing availability, or address maintenance needs proactively.

Examples of when early assignment may be useful:
  1. Preparing for an upcoming brand inspection
  2. Completing maintenance during low occupancy periods
  3. Managing technician availability
  4. Addressing known equipment concerns before the scheduled due date
  5. Reducing future maintenance workload

Understanding Upcoming PM Tasks

MOP tracks Preventative Maintenance schedules using two methods:
Upcoming Rent Days Tasks - Tasks that are scheduled based on room occupancy or usage.
Examples:
  1. Carpet cleaning after a certain number of rental days
  2. Guest room preventative maintenance based on occupancy
Upcoming Next Days Tasks - Tasks that are scheduled based on calendar days.
Examples:
  1. HVAC inspections every 90 days
  2. Fire extinguisher inspections every 30 days
  3. Equipment checks every 60 days
  4. Both task types can be assigned before their scheduled date if necessary.

Assign an upcoming rent days task ahead of time

1. Select the task(s) to assign.


2. To assign the task before its scheduled time, click "Add PM Tasks" located at the bottom right.
