User access in Visual Matrix can be controlled by activating or deactivating a user account. Deactivating a user prevents them from logging into the system while keeping their profile and history intact. This is useful when an employee leaves the property or no longer requires system access.
Instead of deleting users, Visual Matrix uses an Active/Inactive status:
- Active=Yes-User can log in;
- Active=No-User cannot log in
Deactivating a user does not remove their data or past activity.
Path: Management > User Settings > Security
Instructions
1. Find the user in the list. Use filters if needed.
2. In the Active column, change: Yes → No
3. Click Save to apply the update. The user will no longer appear in the Active list.
Changes are not applied until saved.
View Inactive Users
To view inactive users, change the filter from Active to Inactive or All.

Users are not deleted — only deactivated
Access is Immediately Revoked
Once set to inactive, the user can no longer log in
Data is Preserved
All past activity, transactions, and history remain associated with the user
Reactivating a User
To restore access:
- Change Active=No to Yes
- Click Save
