Supervisor access in Visual Matrix allows certain users to perform sensitive actions within the system, such as handling financial transactions and viewing restricted information. Because this setting grants elevated permissions, it is important to understand what it does—and what it does not do.
The Supervisor setting is a control within the user profile that grants access to specific restricted functions. It is not related to the user’s department or the Front Office Access Privileges section.

Important Clarification
The term Supervisor appears in multiple places in the system, but they do not mean the same thing:
- 1. Supervisor (Department): Used for organizational grouping only (no impact on permissions).
- 2. Supervisor (User Profile Field): Grants access to sensitive system functions - Explained in this article.
- 3. Front Office Supervisor (Access Privilege): Controls access to specific areas of the Front Office Department.
These are separate settings and must be configured independently.
What Supervisor Access Allows
When enabled, Supervisor access allows the user to:
- View credit card numbers.
- Post payment credits or refunds.
- Use supervisor-restricted accounting codes.
This access should only be granted to trusted users.
Security Considerations
- Supervisor access provides elevated permissions to sensitive financial data and actions.
- Assign this access only to authorized personnel.
- Regularly review users with Supervisor access to ensure it remains appropriate.
- When to Use Supervisor Access.
Enable Supervisor access for users who:
- Manage financial transactions.
- Require access to restricted accounting functions.
- Hold supervisory or management-level responsibilities.
Common Misunderstanding
- Selecting Supervisor in the Department or Access Privileges does not grant Supervisor-level permissions.
- Only the Supervisor field in the user profile controls this access.
