Securing User Access with Multi-Factor Authentication (MFA) (Cloud)

Multi-Factor Authentication (MFA) adds an extra layer of protection to your Visual Matrix Cloud system by requiring users to verify their identity using a second method, such as email or phone, in addition to their password. Once enabled, MFA applies to all users and helps prevent unauthorized access, even if login credentials are compromised.
Path: Management > User Settings > Security > Enable MFA

Overview

MFA enhances system security by requiring:
  1. Something the user knows (password)
  2. Plus something they have (email, or phone)
Once enabled:
  1. It applies to all users (no exceptions)
  2. Users must complete verification at login
  3. Access is protected even if passwords are shared or exposed

Feature Availability & Required Setup

Multi-Factor Authentication (MFA) must be activated before it can be used.
Before requesting activation, ensure every user has at least one of the following configured:
  1. A valid email address
  2. or a valid phone number
Info
Users without this information will not receive verification codes and will be unable to log in once MFA is enabled
To activate MFA, contact the Client Experience team.
Notes
Once activated, the Enable MFA option will be available in your system.


Instructions

1. Click Enable MFA.



2. MFA will now be enforced for all users.

Critical Behavior & Warnings

Applies to All Users
MFA cannot be enabled per user — it is system-wide.
Immediate Impact
All users will be required to complete MFA on their next login.
User Setup Dependency
Users without a valid email or phone number will be unable to log in.

Understanding the User Experience

Once MFA is enabled, users will:
  1. Enter their username and password
  2. Choose a verification method: Email or Text message
  3. Enter the verification code received
  4. Complete login

  1. Review all user profiles
  2. Ensure contact information is complete and accurate
  3. Communicate the change to your team
