Create a Maintenance Recurring Task (MOP)

A Maintenance Recurring Task is used to automate routine maintenance activities that must be performed on a regular schedule. Unlike Preventative Maintenance Tasks, which are typically driven by maintenance intervals or usage, Recurring Tasks are scheduled to occur at fixed time intervals such as daily, weekly, monthly, or every specific number of days. Recurring Maintenance Tasks help properties:
  1. Ensure routine maintenance activities are completed consistently
  2. Improve accountability and task visibility
  3. Reduce manual task creation
  4. Support operational efficiency
  5. Maintain property standards
Once configured, recurring tasks are automatically generated and assigned based on the schedule you define. With the exception of early assignments, these tasks do not require daily assignment and will automatically appear on the assigned employee's task list when due.

Create a Maintenance Recurring Task

1.  Add a New Recurring Maintenance Task - Click Add Rec Maint Tasks.


2.  Select the Location - Choose the room number or common area where the recurring maintenance task will be performed. Examples:
  1. Guest Room
  2. Pool Area
  3. Laundry Room
  4. Lobby
  5. Mechanical Room


3.  Select the Duty / Task Type - Choose the maintenance duty from the dropdown list. Examples may include:
  1. HVAC Check
  2. Equipment Inspection
  3. Safety Inspection
  4. Filter Replacement
  5. See Notes


4.  Select the Priority - Choose the priority level for the recurring task:
  1. High
  2. Medium
  3. Low
Priority helps maintenance staff identify tasks that require more immediate attention.


5.  Assign the Employee and Verification Type - Select the employee who will perform the recurring maintenance task. Then select the verification type:
  1. Self Verification - The task is automatically marked as Verified when completed.
  2. Supervisor Verification - The task must be reviewed and verified by a Maintenance Supervisor after completion.


6.  Enter the Recurrence Interval - Specify how often the task should repeat by entering the number of days between occurrences. Examples:
  1. Every 7 Days
  2. Every 30 Days
  3. Every 90 Days


7.  Configure the Schedule - Select:
  1. Start Date
  2. Start Time
  3. End Time
These settings determine when the recurring schedule begins and when the task should be completed each occurrence.


8.  Scroll Down - Continue to the lower section of the screen to configure additional scheduling options.
9.  Configure the Counter - Enter the number of times the task should repeat. (Example: 12 = Tasks repeat 12 times)


10.  Activate the Task - Select the Active checkbox. Only active recurring tasks will generate future assignments.


11.  Add Notes - Use the Notes field to provide additional instructions, procedures, or important information. This is especially useful when:
  1. Providing detailed maintenance instructions
  2. Listing safety requirements
  3. Explaining custom duties
  4. Using the See Notes duty option
Example: "Inspect all emergency exit signs and replace batteries if required."


12.  Save the Task - Click Save. Once saved, MOP will automatically generate recurring maintenance tasks according to the schedule.
