Activity Schedule Report (Cloud)

The Activity Schedule Report gives you a detailed view of all scheduled activities linked to reservations for a defined date or date range. This helps your front-office and operations teams stay on top of guest services like rentals, excursions, shuttle bookings or other activities, ensuring nothing is missed and revenue is maximized. The Activity Schedule Report summarizes scheduled activities within the selected date range. The layout changes depending on whether the Include Guest Res option is selected and how long the date range is.
Path: Front Office > Reports > Front Office > Activity Schedule.

Generating the Report

1. Use the filters along the top of the screen to define the date range and how activities are displayed.
- Date From / Through: select the start and end date to view activities scheduled within that range.
- Activity: choose a specific activity or select All to include every scheduled service or event.
- Include Guest Res: when checked, lists each guest booked under the selected activity for more detailed coordination.
- Tax Inclusive: displays values including tax. If your property already operates with tax-inclusive pricing, totals will include tax whether or not this box is selected.



2. After setting your filters, click Refresh to generate the report.


Notes
Depending if you check the box to include guest reservation or not, the report will not be the same.

Short-Range Summary (≤ 15 Days, “Include Guest Res” Unchecked)

Provides a day-by-day summary of activity bookings within a two-week period. Ideal for short-term operational planning or quick overviews of daily demand.

Activity Information
- Code / Desc: lists the activity code and description (e.g., BIKE – Bike Rental).

Daily Activity Totals
- Date Columns (Sun–Sat): displays the number of bookings per day across the selected range.

Summary Totals
- Qty: total number of bookings for the activity during the selected period.
- Revenue: total revenue generated by the activity.
- Avg: average revenue per booking.



Detailed by Guest (“Include Guest Res” Checked)

Displays each guest reservation tied to an activity, including status, booking details, and revenue. Useful for team members coordinating guest services or verifying participation.

Activity & Guest Information
- Activity / Desc: activity code and description.
- Guest Name: the guest participating in the activity.

Reservation Details
- Start Date / Time: when the activity is scheduled.
- Status: reservation status (IN, HLD, GTD).
- Qty / Adl/Chld: number of participants, adults, and children.

Financial Summary
- Revenue / Avg: total and average revenue per booking.
- Grp / Conf #: group name (if applicable) and confirmation number.



Period Summary (> 15 Days, “Include Guest Res” Unchecked)

For longer date ranges, the report automatically switches to a condensed format showing totals for the entire period rather than day-by-day results. Ideal for management-level reviews or trend tracking.

Activity Information
- Code / Desc: activity code and name.

Activity Totals
- Qty: total number of bookings within the selected period.
- Adl/Chld: total adults and children participating.
- Revenue: total revenue for that activity.
- Avg: average revenue per booking.



Tips & Use Cases

- Review this report daily for upcoming dates to ensure activities like shuttle runs, excursions, or rental services are staffed and confirmed.
- Match activity forecast numbers against actual usage to check profitability and under-utilised services.
- Use the ‘Include by Guest’ option to create pick-lists for operations staff (e.g., shuttle drivers, activity managers) so they know exactly who is booked, when and where.
- For group reservations, filter by activity code to isolate group activities and monitor uptake, no-shows or extra service charges.
