1. Use the filters along the top of the report to refine your results:
- Sort By: Choose how to organize the report: by Guest Name or by Room Number. Sorting by room can help when reconciling with housekeeping or front desk lists, while sorting by guest name is ideal for reviewing accounts alphabetically.
- Include Cash Balances Over 0: When selected, the report also includes cash reservations with outstanding positive balances. This helps identify any cash-paying guests who may need additional deposits to stay within policy.
Understanding the Report
The Over Credit Limit Report lists in-house guests whose folio balances currently exceed their available credit, including any payments or credit card authorizations on file. Reviewing this report helps staff identify guests who may need additional deposits or pre-authorizations before check-out.
Guest & Room Information
- Room: Displays the assigned room number for each guest.
- Guest Name: Shows the guest’s full name associated with the reservation.
- Depart: Indicates the scheduled departure date.
Rate & Balance Details
- Rate: The nightly rate applied to the reservation.
- Est Balance (Estimated Balance): The guest’s current folio balance, including posted charges and pending authorizations.
- Auth Limit (Authorization Limit): The total authorized or prepaid amount available for the guest.
Payment & Group Information
- MOP (Method of Payment) – Shows the form of payment on file, such as Credit Card, Direct Bill, or Cash.
- Group – Identifies any group or block the reservation is part of.
- Comments – Displays any internal notes or comments related to payment arrangements or follow-up actions.
If the report is empty, that’s good news—all in-house reservations have sufficient payment or authorization on file to cover their expected charges, reducing the risk of payment issues and ensuring a smooth guest experience.

Tips & Use Cases
- Run this report daily during morning rounds to prevent payment disputes or declines.
- Review all accounts with significant overages before the night audit to ensure no pending postings inflate balances further.
- Use the report as part of front-office shift procedures to flag rooms requiring follow-up by accounting or management.
- During group stays, watch for master folios that exceed their credit limit even when individual guests appear within theirs.
