Setup Overbooking on the BW 2Way (BW)
By default, Visual Matrix and Best Western are not set up to overbook. To setup overbook in the 2way between VM and Member Web, follow the steps in this article.
1. Contact your BW Revenue Manager
First, BW needs to set up the Overbook feature on their end.
BW might allow you to only overbook up to a certain % of your full inventory. See your Revenue Manager.
2. Contact Visual Matrix
The Hotel or the Revenue Manager will open a ticket with Visual Matrix Client Experience asking to enable the overbook feature in the BW 2Way with the following information:
- confirming that the Overbook has been enabled on BW side.
- the room type or types that were set up to allow overbooking.
- the number of rooms that can be overbooked for each room type.
- the total number of rooms that can be overbooked regardless of room type.
For example, if it is allowed to overbook 5 kings and 5 queens, but only 8 rooms total, then the system will stop allowing overbookings once 8 rooms have been overbooked regardless of room type. In this scenario, it will never be able to overbook all 10 potential rooms.
It is not possble to overbook more than 100% of the hotel true inventory.
If overbook is already taken locally, it will update the inventory overbook online.
Can I stop the Overbook on specific days?
To stop the Overbook, you need to HARD close the inventory. This will close out the CRS.
