In hotel management, an advance deposit is a pre-payment made by a guest to secure their reservation ahead of their stay. Posting an advance deposit ensures the guest’s commitment and helps guarantee payment for the hotel. This article will guide you through the steps to properly post an advance deposit within the PMS, covering best practices and tips for accurate tracking.
Path: Front Office > Reservations > Search > Open a reservation
1. Go to the toolbox on the right and select "Post Deposit".
2a. Select the method of payment.
Note: "Adv Deposit PrePaid" is not a payment for an advance deposit; it's a code used to record an advance deposit when the payment has already been received.
2b. If the deposit is posted before the day of arrival, Visual Matrix will default to the setup selected in your credit card interface (first night or full stay - extra included). If the deposit is posted on the day of arrival, Visual Matrix will always default to the full amount of the stay (extra included).
2c. The last field is optional. You do not have to put something.
2d. Click "Post" and follow the instructions.
