Sometimes one room’s folio needs to cover charges for another room—for example, shared services, added incidentals, or when a guest is paying for multiple rooms but doesn’t want a formal group reservation. Visual Matrix lets you transfer folio charges during check-in, as long as the receiving (destination) folio is already checked-in. The sending (source) folio can still be in the check-in process.
Path: Front Office > Reservations > Open the Source Reservation (the folio where the original charges are from)
Make sure the destination (receiving) folio is Checked-In. The source folio can be in the check-in process.
Instructions
1. From the Reservations view, open the Guest Account for the source reservation (the room paying the charges) by using the options menu on the right side of that reservation line.
2. Inside the Guest Account, open the Posting menu and choose Transfer.
3. Enter the destination room number (the room receiving the charges). Confirm this room is already Checked-In.
If you enter a room number that is not Checked-In, Visual Matrix will display a warning message:
4. Once confirmed, all eligible charges from the source folio (e.g., room 119-A) will be transferred to the selected destination folio (e.g., room 103-A). The transferred charges now appear on the receiving folio.
