Loss of business refers to revenue opportunities the property expected to realize but ultimately did not receive. In Visual Matrix, loss of business is tracked through two types of events: early check-outs, where a guest leaves before their scheduled departure date, and regrets, where a guest chooses not to complete a booking after inquiring. This article focuses only on early check-outs; regrets are covered in a separate article.
The Check Outs Loss of Business report shows all guests who departed earlier than planned. Reviewing these early departures helps identify patterns, understand the reasons guests shorten their stays, and evaluate the impact on occupancy and revenue.

Generating the Report
1. Select the Early Check-Out option to focus the report on guests who departed before their scheduled date.
2. Enter a date range or select dates from the calendar.
3. Click Refresh to display matching results. Click Print to generate a printed version of the report.
The Early Check-Outs Loss of Business report lists all guests who checked out before their scheduled departure date within the selected date range. Use the screenshot below to understand how each section of the report is organized.
Guest & Stay Information
- Posted Date: Date the early check-out was recorded.
- Guest Name: Name of the guest who checked out early.
- Phone #: Guest’s phone number, useful for follow-up.
- Room #: Room the guest occupied at the time of departure.
Early Departure and Posting Details
- Reason: Explanation or code indicating why the guest left early.
- Clerk: User who recorded the early check-out entry.
- Posted Time: Time the early check-out entry was recorded.
