Using PinPad Signature Capture During Check-In (Cloud)

This article assumes your property has signature capture enabled on a pinpad device.
Using signature capture during check-in removes the need to print a registration card for the guest — the guest can sign directly on the pinpad. This streamlines the check-in flow and keeps a digital record of the signature. The steps below walk you through how to initiate check-in, prompt the guest to accept terms and sign, and finalize the process in VM Cloud (regardless of payment method). Screenshots illustrate the key popups and interface screens.

Instructions

1. Begin check-in by selecting the payment method:
  1. If paying by credit card, complete the credit card authorization.
  2. If paying cash, input the cash amount received.
  3. If the stay is charged to a city ledger account, choose the city ledger option.

2. A pop-up appears with the message Bypass Acceptance Terms and Signature. This refers to skipping the guest’s acceptance and signature that would normally be on a paper registration card.
3. Click NO to ensure the guest will sign electronically via pinpad rather than skip it.

Alert
If you click Yes, the guest will not be prompted to sign on the pinpad. Instead, they will have to sign on a printed version of the registration card.

4. Ask the guest to check the Acknowledge box and then click Accept.



5. Have the guest sign on the pinpad device.



6. The signature will display on your screen — click OK to accept it.



7. Continue and complete the remainder of the check-in process. If any additional payment step is required (e.g., authorization or cash), proceed as in Step 1.

8. Once check-in is finalized, the guest’s signature is embedded on the registration card and may be printed at any time.
