Add a Special Request to a Reservation (Cloud) đŸŽ„

A “Special Request” lets you flag and track guest preferences or requirements—such as dietary needs or maintenance alerts—within a reservation. These are assigned by department, date, and requester and help ensure your team can efficiently address guest needs throughout their stay.
Path: Front Office > Reservations > Search and Open the Reservation
Idea
Use Special Requests for anything that requires staff attention—setting a visible flag ensures nothing gets missed.

Instructions

1. Access the Special Request Tool: Click the Special Requests icon in the tools menu.


2. Add a New Request: Click New to open the request form. Select the Date, the Department responsible, and enter the request in the text field. Click Save to attach the request to the reservation.



3. The Special Request icon will blink red until the request is marked complete, drawing attention to unresolved tasks.

Special requests appear on multiple reports, including Housekeeping Room Assignments, Front Office Arrivals, and In-House Reports. If your property uses VM Guest Texting, a text notification is also sent to each department user who is configured to receive alerts for their assigned department.
