Group agreements allow hotels to efficiently manage rates, availability, and booking conditions for blocks of rooms reserved for specific groups—such as weddings, conferences, or corporate events. In Vertical Booking, setting up a group agreement involves creating a dedicated rate plan, entering group-specific details, assigning the rate, and configuring relevant policies. Follow the steps below to ensure your group agreements are set up correctly and ready for seamless booking.

Groups created in Vertical Booking do not automatically link to groups in Visual Matrix. Each reservation will import individually into the PMS and must be manually assigned to the appropriate group. You can identify these reservations by their assigned rate plan.
Additionally, the rate plan created for the group agreement must be mapped in the Channel Manager interface within the PMS to ensure proper connectivity and functionality.
1. Start by creating a new rate in Vertical Booking. In the Category & Type section, be sure to classify it as a group agreement rate.
2. Navigate to Guests > Group Agreements > Property Group Agreements, then click Add Group Agreement to begin.
3. Fill in the group’s general information as prompted.
4. Click Save, then return to the Group Agreements page.
5. Select the Agreement section to expand it, then click New Contract.
6. Enter the date range during which the group agreement should be valid.
7. Click Save, then navigate back to the Group Agreements list.
8. Click Choose Agreement to continue.
9. Enter the detailed group information, including contact details and preferences.
10. Assign the appropriate rate plan to the group from the list of available rates.
11. In the next tabs, you can enable options to allow group members to book public rates or add specific services if needed.
12. Set up the allotment by creating it and mapping it to the group agreement accordingly.
13. To complete the setup, define the payment and guarantee policies, then click Save.
