When managing group blocks or tracking group contacts, using the group’s phone number as a search key can save time and help you quickly find the correct group reservation—even if you don’t remember the group name or confirmation number.
In this article, we’ll walk you through how to use the Search tool in the Groups menu to locate a group reservation via phone number.
Path: Front Office > Group > Search
Instructions
1. In the Search dropdown, you’ll see five criteria options (for example: group name, event, confirmation number, contact name, and phone number). Select Phone Number as your search criterion.
2. Enter the full phone number of the group’s main contact in the search field.
3. By default, the system limits the search to the current day. Use the From / To date fields to expand the search to any date range (e.g., past, future, or spanning multiple days).
4. Click Search to get the results.
The matching group reservations will appear at the bottom of the window. Each result is clickable—select a group from the list to open its reservation details.
5. If desired, use the Print button to print the list of matching group reservations.

- Are you searching for a group reservation (not an individual)? This search won’t find individual reservations.
- Could the group contact phone number differ from what you have on file?

- What date range was used in the search?
- Were there any error messages or alerts when the user clicked “Search”?
- Did the user try alternate numbers (e.g., mobile, office, alternate contact)?
