Duplicate a Reservation (Cloud) 🎥

The Duplicate Reservation feature in VM Cloud allows you to quickly recreate an existing reservation with the same guest details, stay information, and settings. All reservation data is carried over, except the payment method if it is a credit card. This makes it easy to handle repeat bookings or create multiple reservations for the same guest while ensuring sensitive card details remain secure.
Notes
Reservations that are already In-House, Checked Out, or Canceled cannot be duplicated. Only reservations with a current or future arrival date are eligible.
Path: Front Office > Reservations > Search and Open the Reservation > Duplicate

Instructions

1. Eligibility Check: The reservation must have a pending arrival. Reservations that are in-house, checked out, or canceled cannot be duplicated. This ensures duplicate bookings are only created for active or upcoming stays.



2. How to Duplicate: With the reservation open, click Duplicate in the Toolbox and click OK to confirm the duplication.
3. Optionally, select Open Conf #xxx to jump straight to the duplicated reservation (advised); otherwise, click Cancel to remain on the original.

Notes
The duplicate reservation is created with the same dates as the original. If you open it immediately, you can adjust the stay dates or other details as needed before saving.

4. Tracking the Duplicate: The original reservation number will appear under the Multiple Res field in the Rate Information section, for easy reference.



Warning
When duplicating a reservation, the guest’s information and stay details are copied over. The method of payment is also duplicated, except when it is a credit card—in that case, the card number will not carry over for security reasons.
Advance deposits and pre-blocked rooms from the original reservation are not duplicated. If the new reservation requires a deposit or a specific room assignment, you must add these manually.
