Search Pre-Registered Reservations (BW) (Cloud) 🎥

When a guest completes a CRS (Central Reservation System) survey from a welcome email, Visual Matrix marks that reservation as pre-registered. In this state, staff can filter and view partial pre-registration data before arrival, helping with room planning and guest service. In this article, you’ll learn how to search for pre-registered reservations, see their status codes (PRG, PRH), view CRS comments, and spot them in supervisor or arrivals reports.

Path: Front Office > Reservations > Search
In the Search Field dropdown, select Pre-Registered to filter for those reservations.
You’ll see one of two status codes: PRG (Pre-Registered Guaranteed) or PRH (Pre-Registered Hold).



To view additional guest pre-registration details, click CRS Comments in the reservation. These comments appear in a Q&A format and may include information such as when mobile check-in was done, estimated arrival times, special requests, flight numbers, credit card information, ...


Notes
In the Supervisor screen, pre-registered reservations are displayed as GTD or HLD instead of PRG/PRH. This is only a display change — the reservations are still in a pre-registered state and can be opened to review CRS comments.



Find pre-registered reservations via the Arrival Report

Path: Front Office > Reports > Front Office > Arrivals
In the Status column, you may see these pre-registration codes:
- PRG: Pre-Registered Guaranteed
- PRH: Pre-Registered Hold
- PRI: Pre-Registered In (checked in)
- PRG-KEY: Pre-Registered Mobile Key (see mobile key guidelines below)
