Guest and Reservation Options in Room Rack (Cloud)


The Room Rack in Visual Matrix Cloud gives front-office staff quick access to common guest and room actions. These options appear when you right-click a room or reservation and allow you to update conditions, handle special requests, manage wake-up calls, and view guest details — all without leaving the Room Rack. Using these quick-access tools helps front desk agents and supervisors respond faster to guest needs, keep room information accurate, and coordinate with housekeeping and maintenance in real time.

Overview

Right-click a room or reservation in the Room Rack Summary to open the Options Menu. The available options depend on the room’s current status (e.g., In-House, Due Out, Out of Order).

Available When
Description / Purpose
Guest Name
Any occupied or reserved room
Displays the guest’s name.
Set Room Clean
Room condition = Dirty
Opens the Room Condition window to mark the Room as Clean or Clean and Inspected.
Set Room Dirty
Room condition = Clean / Clean and Inspected
Opens the Room Condition window to mark the Room as Dirty.
Set Room Out of Order
Any non-occupied room
Opens a maintenance work order to mark the room Out of Order and remove it from available inventory.
Complete Work Order
Room = Out of Order (with active work order)
Closes the work order and returns the room to service.
Special Request
Any reservation status = In-House / Due Out
Opens the Special Requests window for that guest’s reservation to add or review special requests (e.g., extra towels, late check-out).
Airport Schedule
Reservation = In-House / Due Out
Opens the Airport Schedule window to add transfer requests.
Messages
Any occupied room
Opens the Guest's Message Log to view or add messages.
Wake-Up Call
Reservation = In-House / Due Out
Opens the Wake-Up Call window to schedule, review, or edit the Guest’s wake-up call time.
Check Out
Room status = Due Out only
Opens the guest’s folio to process checkout.
View Folio
Room status = In-House / Due Out
Opens the guest’s folio, showing all charges and payments.
View Res
Any room with an assigned reservation
Opens the complete reservation window for review or modification.
