
Incidental charges cover items or services beyond room and tax, such as amenities or fees. In VM Cloud, you can schedule incidental charges to post automatically during night audit, ensuring they’re applied without manual entry. This feature allows you to choose the folio, charge code, and flat amount, giving you control over how and when incidental charges are billed.
Path: Front Office > Reservations > Search > Open a Reservation > Guest Account
Instructions
1. In the reservation, click Guest Account from the tools panel on the right-hand side.
2. Choose the folio (A, B, C, or D) where the charges should be scheduled, then click the Incidental Charges tab.
Scheduled charges can be applied to any existing folio, not just Folio A.
3. Select the date on which you want the charges to be posted.
4. From the Code dropdown, select the accounting code for the item, enter the amount, and click the floppy disk icon to save. Once saved, a new empty line will appear so you can add more charges if needed.
The system will automatically post the charge during the night audit on the folio you selected.
