System Preferences and Operational Settings (Cloud)

The System Preferences and Operational Settings control various system-wide behaviors within Visual Matrix Cloud. These settings influence room assignment preferences, occupancy calculations, printing defaults, reservation search behavior, and integrations such as call accounting, helping properties tailor the PMS to their operational needs.

INTL/LD Dialing Digits

The INTL/LD Dialing Digits setting defines the dialing prefixes used for international and long-distance telephone calls.
These values are only used when the property is configured with the Image Call Accounting interface.
The Image Call Accounting interface tracks telephone calls placed from guest rooms and can automatically post applicable call charges to the guest folio.

How It Works
When a guest places an international or long-distance call, Visual Matrix uses the configured dialing prefixes to identify the call type and process the associated charges through the call accounting interface.
Notes
These settings are only applicable when the property uses the Image Call Accounting interface. Properties without a call accounting interface typically do not need to modify these values.

Order Room By Least Used

The Order Room By Least Used setting changes how available rooms are presented during room assignment.
By default, available rooms are displayed in room number order.
When enabled, Visual Matrix prioritizes rooms based on usage history, displaying the least-used rooms first.

Why Use This Setting?
  1. Properties may choose to distribute room assignments more evenly across the hotel to:
  2. Balance room usage.
  3. Reduce concentrated wear and tear.
  4. Spread maintenance demands more evenly across room inventory.
  5. Rotate room utilization throughout the property.

Ignore OOO Rooms for Occupancy %

The Ignore OOO Rooms for Occupancy % setting determines how Out of Order (OOO) rooms are treated when calculating occupancy statistics.

When Disabled
Out of Order rooms are:
  1. Included in the total room inventory.
  2. Counted as occupied rooms.
As a result, OOO rooms contribute to occupancy calculations even though they are unavailable for sale and do not generate revenue.

When Enabled
Out of Order rooms are:
  1. Excluded from the total room inventory.
  2. Excluded from the occupied room count.
This produces an occupancy percentage that reflects only rooms available for sale.

Reporting Impact
This setting affects:
  1. Dashboard occupancy statistics.
  2. Activity reports, including the Daily Report.
  3. Other areas that use occupancy calculations.
Notes
If certain rooms should never be included in occupancy calculations, they can be assigned to a room type that is configured as not included in occupancy.
Info
If occupancy statistics are needed where out-of-order rooms remain part of the total room inventory but are not counted as occupied, refer to the occupancy statistics available in the Room Rack.

Reservation Search Default

The Reservation Search Default setting determines how many reservation records are displayed per page within Reservation Search results.
Available options include: 10, 20, 50, or 100.

How It Works
When users perform a reservation search, Visual Matrix displays the configured number of reservations on each page of search results.
When additional results are available, users must navigate to the next page to view more reservations.

Why Use This Setting?
Properties that frequently work with large search results may prefer a higher value to reduce the number of pages they must review.
Properties that prefer smaller result sets may choose a lower value to simplify navigation through search results.

Paper Size

The Paper Size setting determines the default paper format used when printing documents from Visual Matrix Cloud.
Available options include: Letter, Legal, and A4.

How It Works
The selected paper size is applied throughout Visual Matrix and affects printed documents generated by the system.
This includes:
  1. Reports.
  2. Folios.
  3. Guest documents.
  4. Other printable forms.
Notes
Choosing the Correct Paper Size
Properties should select the paper size that matches the standard paper format used by their printers and geographic region.
Using the correct paper size helps ensure documents print properly without formatting or page break issues.

Save Changes

After modifying any System Preferences and Operational settings, click Save at the top of the page to store your changes. Unsaved changes will not be applied to the property configuration.
