Security and Administrative Settings (Cloud)

The Security and Administrative Settings control user permissions, reservation override capabilities, session security, and administrative workflows within Visual Matrix Cloud. These settings help properties determine who can perform restricted actions, manage user access, and control the creation of City Ledger accounts from Front Office operations.

Res Override Password

The Res Override Password setting defines the password required to override certain reservation restrictions and availability controls.
When configured, users must enter the override password before completing reservation actions that conflict with the property's configured restrictions.
Examples include:
  1. Creating a reservation when the property is sold out.
  2. Creating a reservation that results in an overbooking.
  3. Creating a reservation that violates a Minimum Length of Stay (MLOS) restriction.
  4. Creating a reservation that violates a Closed to Arrival (CTA) restriction.
  5. Other reservation actions that require management approval.
Alert
Any user who knows the configured password can perform the override.

Auto LogOff # Of Minutes

The Auto LogOff # Of Minutes setting automatically signs users out of Visual Matrix Cloud after a specified period of inactivity.
Enter the number of minutes a user can remain inactive before being automatically logged out.

Recommended Settings
Visual Matrix recommends configuring a timeout between 10 and 40 minutes.
Entering 0 disables automatic logoff entirely.
Notes
While disabling automatic logoff is possible, it is generally not recommended because it increases the risk of unattended workstations remaining signed in.

User Session Behavior
When the configured inactivity period is reached, the user is automatically signed out and returned to the login screen.
The setting applies to all users.

Multiple Tabs
Users can open multiple Visual Matrix tabs within the same browser session. However, each tab maintains its own inactivity timer.
If any open tab reaches the configured logoff threshold, the entire session is logged out, and all open Visual Matrix tabs are signed out.
Info
Users cannot be signed into Visual Matrix Cloud simultaneously from multiple computers using the same credentials. However, multiple browser tabs may be opened on the same computer.

Allow New CL From Front Office

The Allow New CL From Front Office setting determines whether users can create new City Ledger accounts directly from Front Office operations.
When enabled, users can create a new City Ledger account while:
  1. Creating or editing a reservation.
  2. Checking in a guest.
The newly created City Ledger account can then be immediately applied to the current reservation.

Why Use This Setting?
This option streamlines the setup of Direct Bill arrangements by allowing front desk staff to create the required City Ledger account without leaving the reservation workflow.
Notes
When disabled, City Ledger accounts must be created separately before they can be assigned to a reservation.
Properties may choose to disable this setting if they want City Ledger account creation restricted to accounting or management personnel.

Save Changes

After modifying any Security and Administrative setting, click Save at the top of the page to store your changes. Unsaved changes will not be applied to the property configuration.
