Reservation Required Fields (Cloud)

The Reservation Required Fields settings allow properties to require specific guest information before a reservation can be saved. These settings help ensure important guest details are collected consistently and reduce incomplete reservation records.



Understanding Reservation Required Fields

Properties can designate specific guest information fields as required when creating or updating reservations.
Available fields include:
  1. Address 1
  2. Address 2
  3. Phone Number
  4. Postal Code
  5. State
  6. City
  7. Email

To make a field required, select the corresponding checkbox.


How Required Fields Work

When a required field is enabled, Visual Matrix verifies that information has been entered before allowing the reservation to be saved.
If a required field is missing:
  1. The reservation cannot be saved.
  2. An error message is displayed identifying the missing information.
  3. Required fields that need attention are highlighted with a red border.
Notes
The reservation must be updated with the required information before it can be saved successfully.

Online Reservations

The Required Fields settings primarily apply to reservations created or modified directly within Visual Matrix Cloud.
If an online reservation is received with missing information in a required field, users who open the reservation will be required to complete the missing information before closing the reservation or checking the guest in.

This helps ensure reservation records remain complete regardless of how the reservation was created.

Consider carefully which fields should be required for your operation.
Notes
While requiring additional information can improve data quality, it may also increase the amount of information that must be collected during the reservation process.
Properties should select only the fields necessary to support operational, reporting, and guest communication requirements.

Save Changes

After modifying the Reservation Required Fields settings, click Save at the top of the page to store your changes. Unsaved changes will not be applied to the property configuration.
