Reservations often use predefined “Reason for Stay” codes (e.g. Business, Leisure, Conference). However, when none fit, staff or guests can select Other and enter a custom stay reason.
The “Other Reason for Stay Field” report collects all those custom entries. Use this report to review what guests enter under “Other” — it can reveal unexpected stay types, niche guest needs, or booking patterns that don’t fit standard segments.

Generating the Report
1. Enter a date range or select dates from the calendar.
2. Click Refresh to display matching results. Click Print to generate a printed version of the report.
Understanding the Report
The “Other Reason for Stay” report displays all reservations where Other was selected as the stay reason and a custom explanation was entered. Use the screenshot below to understand how the information is organized.
Entry Details
- Entered Date: Date the custom “Other” stay reason was recorded.
- Reason: The custom text entered as the stay reason (e.g., specific events, conferences, special circumstances).
Reservation & Guest Information
- Arrival Date: Guest’s scheduled arrival date.
- Guest Name: Name associated with the reservation.
- Phone #: Guest’s contact number.
Stay & Posting Information
- Status: Reservation status at the time (e.g., OUT).
- Room #: Assigned room number.
- Clerk: Staff member who entered the custom “Other” reason.

Tips
- Make sure “Other” was selected at booking and the custom reason was entered — otherwise the stay won’t appear in this report.
- Use consistent naming when assigning “Other” reasons to avoid fragmenting reporting data (e.g. avoid “Business Trip,” “Biz Trip,” “Business” as separate entries).
- Review custom reasons periodically to identify duplicates and clean up data for better analysis.
- Compare “Other” stays vs standard segments to evaluate if some “Other” reasons deserve their own new standard segment.
