Preventative maintenance items define recurring or scheduled maintenance tasks that your property performs regularly—such as air filter changes or equipment inspections. In Visual Matrix Cloud, you can assign preventative maintenance items to specific locations (guest rooms or common areas) so they generate automatically in scheduled maintenance lists. By assigning these items by location, properties ensure that routine maintenance is planned consistently across rooms and shared spaces.
Instructions
1. Select a Location. From the list on the left, click the room type or common area you want to configure. The preventative maintenance items for that location will display on the right.
2. Select Preventative Maintenance Items. In the Preventative Maintenance panel: Check the box next to each preventative maintenance item you want to assign to the selected location.
3. Define Maintenance Details. For each selected item, you can enter or update:
- Quantity: Number of items or units involved
- Reference Date: Starting date for the maintenance schedule
- Replace # of Days: Number of days between each occurrence
These values control how often the preventative maintenance task will be scheduled.
4. Save the Assignment. Click Save at the top right of the Preventative Maintenance panel to apply the assignments and settings.

Preventative maintenance items must be saved for each location individually.
Assigning preventative maintenance items does not place rooms out of order and does not affect inventory availability.
