FAQ - MOP / Visual Matrix PMS Integration

How fast is the communication between Visual Matrix and MOP?
The communication is real-time. Any updates made in one application will immediately reflect in the other, if the information needs to be shared between the two.
Are housekeeping comments from reservations or maid instructions also sent to MOP assignments?
No, that information is not transferred to MOP. Any housekeeping comments or maid instructions must be manually added to the assignment within MOP.
I set up a refresh and full clean frequency in the VM PMS, but it doesn’t seem like VM MOP is following it.

Currently, this setup is not transferred to VM MOP. MOP uses its own hardcoded logic: if a guest’s length of stay is exactly 3 days (or a multiple of 3), it assigns a Full Clean. On all other days, a Refresh is assigned.

Why are some tasks showing as unassigned in MOP after importing from the PMS?

Tasks will appear as unassigned in MOP if they were not assigned to a user in the PMS before importing. While these tasks still import, they generate errors in MOP due to the missing assignment.

How are cleaning tasks brought into MOP from the PMS?

When you select “Add Visual Matrix Tasks” in MOP, it brings in tasks based on what’s currently scheduled in your PMS. Only rooms with active reservations are included, and out-of-order rooms are skipped. MOP also uses its own cleaning schedule — for example, it automatically assigns a Full Clean every third night of a guest’s stay, instead of following any daily or weekly schedule you may have set in the PMS.

What happens when a room is marked as Do Not Disturb (DND)?
Currently, there’s a known issue where DND tasks still send a "clean" status back to the PMS, even though the room wasn't serviced. This will be fixed in a future update.
What does MOP send back to the PMS when a task is completed?
When a task is verified in MOP, it sends a "Clean and Inspected" update to the PMS. If your property uses Self-Verification (where attendants verify their own rooms), MOP sends only a "Clean" status since there was no supervisor inspection. This logic will be improved in a future update to better reflect actual room conditions.
Will MOP create user accounts automatically for new attendants?
Yes. If the PMS includes an attendant name that doesn’t already exist in MOP, the system will automatically create a new user account with a generated username during the task import.
Can I assign rooms directly to a housekeeper in MOP without assigning them first in Visual Matrix?
Yes, you can assign rooms directly to a housekeeper in MOP by selecting the housekeeper first and assigning rooms manually—similar to the process in Visual Matrix. However, it’s important to understand the limitation of doing it this way:
- If the room assignments are not first made in Visual Matrix and then imported into MOP, any updates to the room’s condition status will not sync back to Visual Matrix.

This breaks the intended functionality of the interface, which relies on the original assignments being made in VM so the status updates flow correctly between both systems.
For full syncing and accurate room status updates in VM, you have to assign rooms in Visual Matrix and then import them into MOP.
