Post a Group Advance Deposit (Cloud) 🎥
A Group Advance Deposit is a prepayment collected from a group before arrival and applied directly to the Group Master Folio. It secures the group’s reservation and ensures all payments are tracked centrally for accounting and reporting. Once posted, the deposit remains with the group master — it cannot be divided or transferred to individual picked-up rooms later.
Path: Front Office > Group > Search > Open the Group
Instructions
1. In the Tools section on the right side of the screen, click Post Deposit.
2. In the Post Deposit dialog, select the payment method, enter the deposit amount, and (if needed) a reference number such as a check or transaction ID.
When a deposit is posted before the arrival date, Visual Matrix automatically defaults the amount to cover the first night’s charges, including any extras. If the deposit is posted on the arrival date, the system defaults to the full stay amount, including extras.
3. Click Post to save the transaction.
